How does missed call text back work? The trigger, the text and the rules

Missed call text back works by having your business phone system, not your handset, watch each inbound call. When a call rings longer than a set timeout without being answered, the system marks it as missed and automatically sends a text message to the caller's number. The caller can reply by text, and the reply lands in an inbox your team can see.

It only works on a number hosted by software that can both receive calls and send SMS, such as GoHighLevel, Quo, JustCall or Grasshopper.

Missed call text back automation, step by step

  1. A call arrives on the business number and rings your app, desk phone or forwarded mobile.
  2. The timeout passes. In GoHighLevel this is the Incoming Call Timeout, and the vendor recommends 10 to 20 seconds. Answered calls never trigger a text.
  3. The system checks its rules. GoHighLevel respects a contact's Do Not Disturb setting. Quo skips the text if it already sent one to that contact in the last three hours, or if you recently called or messaged them.
  4. The SMS is sent. GoHighLevel uses the number that was called if it can send SMS, and otherwise falls back to another eligible number in the account.
  5. Voicemail still plays. In GoHighLevel the voicemail greeting runs independently after the timeout, so the caller may leave a message as well.
  6. The reply is routed. A text back from the caller opens a two-way conversation that staff answer by hand, or that a workflow or AI agent continues.

The basic version is a fixed message. The automation version replaces the fixed message with a workflow. In GoHighLevel the Call Details trigger fires on call statuses such as not answered, busy or voicemail, and the workflow can then wait, tag the contact, text them and notify a user.

Registration and consent rules for US numbers

In the United States the text can only be sent from a number approved for business messaging. Twilio's documentation states that anyone sending SMS from an application to US users over a 10-digit local number must register for A2P 10DLC, which means registering a brand and a campaign. Unregistered traffic faces extra carrier fees and heavier filtering. GoHighLevel requires A2P 10DLC registration for local numbers or toll-free verification before the feature will send.

On consent, CTIA's Messaging Principles and Best Practices describe conversational messaging: when a consumer starts the exchange and the business simply responds, no additional permission is expected. The CTIA example is a consumer who texts first; the document does not mention missed calls by name, so treat that reading with care. The same document says senders should let people opt out at any time and should honor STOP and plain-language requests. In practice, send one reply about the call, keep promotions out of it, and take advice before adding marketing follow-ups.

A worked example with real settings and numbers

A dental practice uses GoHighLevel with one registered local number and a 15 second Incoming Call Timeout. At 12:40pm the front desk is with a patient and a new caller rings. After 15 seconds the call is missed and the caller receives a text, written for this page: Thanks for calling Elm Street Dental. We are with a patient. The caller replies with one message. Common mistakes with missed call text back

  • Duplicate texts. GoHighLevel's standard feature texts on every missed call, including repeats. Use a workflow with a wait step if callers redial.
  • Launching before registration. The feature cannot send until the number is approved.
  • Nobody reads replies. The text invites an answer. Set up alerts as described in staff notification.
  • One message for all hours. A promise to call back within the hour is false at midnight. See after-hours replies.
  • Expecting WhatsApp. In GoHighLevel the SMS feature does not send on WhatsApp; that is a separate feature.

When a paid tool is worth it

A paid tool is worth it when you miss calls from new customers during working hours and each one could become a job. A lower-cost route is a phone app with auto-replies, such as Quo from $28 per user a month, or $15 billed annually.
