Yes: GoHighLevel integrates with QuickBooks Online natively
GoHighLevel does integrate with QuickBooks. The connection is built in, found under Settings then Integrations in a sub-account, and HighLevel's help article describes it as a two-way integration with QuickBooks Online. No Zapier step or marketplace app is needed.
The article covers QuickBooks Online only. It does not mention QuickBooks Desktop. It names no HighLevel plan requirement and no fee for the connection. Your QuickBooks subscription is billed by Intuit as usual.
What syncs in each direction
| Data | HighLevel to QuickBooks | QuickBooks to HighLevel |
|---|---|---|
| Customers and contacts | A customer is created when the contact has activity | Existing and new contacts are imported, within about 5 minutes |
| Invoices | New invoices sync once sent, with number, status, dates, total, amount paid and line items | Older invoices import only if Import invoices is switched on at setup |
| Payments | A sales receipt is recorded for payments from order forms, subscriptions, memberships and calendar bookings | Not listed |
| Taxes and discounts | Sent with the invoice | Not listed |
| Review requests | Not applicable | A paid-in-full invoice can trigger an automatic review request |
Records are matched by contact email address. A matching email updates the existing customer. A new email creates a new one.
Setup steps from Settings to first sync
- In the sub-account open Settings, then Integrations, and find the QuickBooks connect button.
- Decide whether to switch on Import invoices. This brings invoices already in QuickBooks into HighLevel.
- Optionally switch on the review automation, which sends a review request when a QuickBooks invoice is paid in full.
- Click connect, sign in with your QuickBooks credentials and accept all the requested permissions.
- Create one invoice in HighLevel, send it and confirm that it appears in QuickBooks.
Limits: drafts, older invoices and email matching
- Draft invoices do not sync. Only invoices that are Sent, Pending or Paid are pushed to QuickBooks.
- Invoices created in HighLevel before connecting are not sent. Only new ones sync.
- Imported QuickBooks invoices are one-way. Changes made to them in HighLevel do not flow back.
- Email is the matching key. A customer with different email addresses in each system becomes two records.
- QuickBooks Online only, as far as the article goes.
The most common mistake follows from the first point: an invoice saved as a draft in HighLevel and then reported as missing in QuickBooks. Send it and it syncs.
What to check after connecting
Run one full cycle before you trust the books. Send a test invoice with a tax line and a discount, and compare the line items and totals in QuickBooks. Record a payment and confirm the status changes on both sides. Take one payment through an order form or a calendar booking and look for the sales receipt. Search QuickBooks for duplicate customers created by mismatched emails.
If you switch on the review automation, check which invoices will trigger it first. Otherwise old customers may get review requests you did not intend.
Who it suits and when another tool fits better
The integration suits a service business that sends invoices and takes payments inside HighLevel and wants its accountant to see them in QuickBooks Online without retyping. It removes double entry for invoices. It does not turn HighLevel into accounting software.
Businesses on Xero get a narrower connection, described on the GoHighLevel Xero integration page. Field-service firms that quote, schedule crews and invoice from one job record may be better served by Jobber, compared on GoHighLevel vs Jobber. For what the platform itself costs, see the HighLevel pricing breakdown.
